HVAC CRM setup in Manitoba

Manitoba's long winters, a mix of gas and electric heat and active Efficiency Manitoba heat pump programs make equipment, document and rebate fields the heart of a useful HVAC CRM here.

Written by Ali Sedighi, MBALast updated:

Manitoba has one of the longest heating seasons in southern Canada, a real mix of gas and electric heat, and some of the most active heat pump programs in the country. A CRM for a Manitoba HVAC company needs clean fuel and equipment fields, rebate tracking on estimates and a place to attach the documents programs ask for.

The Manitoba market

Statistics Canada's 2023 data shows 52% of Manitoba households heating primarily with natural gas and 33% with electricity. That mix means a CRM's equipment records will include gas furnaces and boilers alongside electric furnaces, baseboards, electric boilers and heat pumps.

Winnipeg is by far the largest market, with Brandon, Steinbach, Winkler, Portage la Prairie and Thompson as other centres. Companies serving Winnipeg often split it into quadrants or neighbourhood groups for dispatch, and treat surrounding towns as their own territories.

Seasonality

Manitoba's prairie winters are long and very cold. In CRM terms, that means:

  • maintenance reminders start early, before the first deep cold;
  • the intake screen sorts no-heat emergencies first;
  • replacement estimates written in winter often need follow-up timed to the customer's budget, not just the next week.

The maintenance reminders service and the estimate follow-up workflow both take these patterns into account.

Regulators to know

In Manitoba, the Office of the Fire Commissioner handles technical safety licensing and permits for electrical and gas trades; check its official pages for what applies to your work. The Workers Compensation Board of Manitoba is the workers' compensation insurer for employers. We name these bodies only; we don't give compliance advice.

Programs as of October 2026

Two programs are most relevant to CRM setup:

  • Efficiency Manitoba Air Source Heat Pump Rebate. The program page lists $2,000 for a centrally ducted cold-climate air source heat pump and $1,500 for a ductless one. Registered suppliers earn a $100 bonus for each eligible application that includes an F280 heat load calculation, completed before March 31, 2027, with one bonus per project address.
  • Canada Greener Homes Affordability Program, Manitoba. Announced on 2025-09-12, with nearly $30 million in federal funding delivered by Efficiency Manitoba for no-cost upgrades such as insulation, air sealing, heat pumps, solar, windows and doors for low- to median-income homeowners and tenants.

What to track in the CRM:

  • rebate program and type (ducted or ductless) on each heat pump estimate;
  • an F280 field (completed, yes or no) and the calculation attached to the job;
  • the application status and date;
  • a flag for customers who may fit income-qualified programs, recorded only with their consent.

Programs change, so confirm current terms with Efficiency Manitoba.

Privacy

Manitoba isn't listed by the OPC among the provinces with a general private-sector law substantially similar to PIPEDA, so PIPEDA generally applies. The usual CRM habits apply: consent fields, limited exports, retention rules and secure handling of any income information a customer shares for a program.

A sample week in a Winnipeg office

Picture a cold January Monday. Overnight, the CRM has collected a dozen no-heat calls from the after-hours line, each already tagged with urgency and the site's equipment. Dispatch sorts them by zone before 8 a.m. Meanwhile, three heat pump estimates written last week sit in "Quote sent", each with a task due today for the advisor, and one has a missing F280 attachment flagged in red. By Friday, the office can see how many emergencies came from agreement customers versus new callers, which is the number that justifies selling more maintenance plans next autumn.

How we'd set up a Manitoba HVAC CRM

  1. Fuel on every site, as a pick list, so gas, electric and heat pump homes can be separated.
  2. Document slots on installation jobs for heat load calculations and program paperwork.
  3. Winnipeg dispatch zones plus territories for outlying towns.
  4. Early reminders for agreement customers.
  5. Remote role training, described on the training page.

Frequently asked questions

Why track F280 calculations in the CRM?

Efficiency Manitoba pays registered suppliers a $100 bonus on eligible applications that include an F280 heat load calculation completed before March 31, 2027. Attaching the calculation to the job, with a yes or no field, makes it easy to see which applications qualify.

Should we record whether a home uses electric heat?

Yes. Fuel type decides which programs and options apply, and Manitoba has a large share of electrically heated homes. A fuel field on every site lets you build accurate lists for heat pump conversations.

Which privacy law applies in Manitoba?

Manitoba isn't among the provinces the OPC lists as having a substantially similar general private-sector privacy law, so PIPEDA generally applies to commercial activity. Confirm with your own advisor.
