A CRM for a BC heating and cooling company needs to cope with two climates, two main heating fuels and a set of income-based rebate programs. It also falls under BC's own private-sector privacy law. HVACCRM.ca is headquartered in Vancouver, and we set up and train BC teams the same way we work with the rest of Canada.
The BC market and its buyers
BC homes are split almost evenly between gas and electric heat. Statistics Canada's 2023 household data shows 42% of households using natural gas and 36% using electricity for their primary heating system. That split shows up in a CRM as equipment variety: furnaces and boilers on one side, baseboards, heat pumps and electric furnaces on the other, often within one service area.
The biggest markets are in Metro Vancouver, including Vancouver, Surrey, Burnaby, Richmond and Coquitlam, with Abbotsford, Kelowna and Saanich as other large centres. Strata buildings, secondary suites and rental properties are common in the Lower Mainland, which is why the customer-versus-site distinction in the CRM blueprint matters so much here. One owner may hold several units, and a strata manager may call about dozens.
Seasonality: two reminder calendars
Winters on the southwest coast are mild and rainy; in the Interior and the North they arrive earlier, last longer and bite harder. A company that covers both needs two sets of timing:
- Coast: a long, gentle shoulder season, so heating tune-ups can be spread over more weeks, and cooling demand is growing during summer heat events.
- Interior and North: a shorter window to book furnace and boiler maintenance before the cold, and a real cooling season in the southern Interior.
We set reminder lead times by service area in the maintenance reminders setup, so a Kelowna customer and a Victoria customer don't get the same message on the same day.
Regulators worth recording
Two BC bodies come up most in an HVAC CRM. Technical Safety BC oversees technical systems in the province, including electrical and gas systems and their permits, and covers heat pump installation requirements. SkilledTradesBC runs Skilled Trades Certification, which now covers seven trades including gasfitter (Class A and B), refrigeration and air conditioning mechanic, steamfitter/pipefitter and sheet metal worker.
Some owners use the CRM's staff records to hold each technician's certificate type and renewal date, and the company's licence details for estimates. That's an operational choice; we set up the fields, but what you need to hold and display is a question for the regulator. We don't give compliance advice. WorkSafeBC is the workers' compensation board to know as an employer.
Programs as of October 2026
Two programs are most relevant to replacement estimates in BC:
- CleanBC Better Homes Energy Savings Program. The program page describes rebates for heat pumps and heat pump water heaters, with amounts based on household income level. Level 3 is limited to ground-oriented homes switching from natural gas, propane or oil to an electric heat pump.
- Canada Greener Homes Affordability Program, BC delivery. A federal backgrounder dated 2026-06-29 describes BC Hydro delivering weatherization and heat pumps to about 6,000 lower-income households, and FortisBC delivering dual-fuel systems and other measures to about 1,000.
What to track in the CRM: whether the customer intends to apply, which program, the income level they report and the key dates on the job. Programs change, so confirm current terms with the administrator before quoting them.
Privacy and the BC CRM
BC has its own private-sector privacy law. For a business operating within the province, it generally applies instead of PIPEDA, while PIPEDA still applies when personal information crosses borders. The Office of the Information and Privacy Commissioner for BC is the provincial oversight body. In practice, a BC CRM should store consent type and date, limit who can export customer lists, and set retention rules for old records and call recordings.
How we'd set up a BC HVAC CRM
- Service areas first. Coast, Fraser Valley, Interior and North as separate territories, each with its own reminder timing.
- Sites separate from customers. Essential for strata, rentals and secondary suites.
- Equipment by fuel. Gas, electric, heat pump and dual-fuel all as pick-list values, so you can build lists for rebate-eligible upgrades.
- Rebate fields on estimates. Program, intent and dates, used in the estimate follow-up sequence.
- Remote training by role, recorded for new hires.

Frequently asked questions
Are you based in BC?
Yes. HVACCRM.ca is headquartered in Vancouver, as part of the Sedighi.ca and SAZ.ca group. We meet BC clients by video call or in person, and work by phone, text and email, as we do everywhere else.
Which privacy law applies to a BC HVAC company's CRM?
For businesses operating within BC, the province's Personal Information Protection Act generally applies rather than PIPEDA, while PIPEDA still applies when information crosses provincial or national borders. Confirm your situation with the OIPC or your own advisor.
Should a BC CRM track rebate eligibility?
It helps. CleanBC Better Homes rebates depend on household income level, so a field noting whether the customer is applying, and at which level, keeps the advisor's follow-up accurate. We don't determine eligibility; the program does.
