The numbers on this page are results from our HVAC marketing work, not CRM projects. We include them for a practical reason: every one of them meant more calls, more quote requests and more customer records arriving at an HVAC office. That is the point where a CRM setup starts to matter, and each case shows a different version of the problem.

HVACDeal.ca: volume needs a pipeline
HVACDeal.ca generated 500+ leads at a 12:1 ROI. A return like that only holds if the leads are worked, and five hundred leads is far beyond what anyone can track in an inbox.
What transfers to CRM work: when lead volume rises, every lead needs a stage, an owner and a next step. Without an agreed pipeline, the ratio of leads to sold jobs drifts down as the team gets busier, and nobody notices until the month-end numbers arrive.
CombiBoiler.ca: monthly flow and response speed
Our work on CombiBoiler.ca produced 300+ monthly leads and a 300% ROI, backed by 500+ page-1 rankings for combi-boiler searches. Three hundred leads a month is roughly ten to fifteen every working day.
What transfers: at that pace, the gap between a quote request and a first response decides who wins the job. A CRM needs a queue that shows new requests in order, a target for first contact and a follow-up sequence for every quote. It also needs clean equipment fields, because a combi boiler quote depends on what is already installed.
CanroHeat.ca: growth that tests the office
CanroHeat.ca achieved 250% lead growth. Growth of that size usually lands on the same office team that handled the old volume.
What transfers: the CRM has to take work off the office, not add to it. That means a short intake screen, returning customers recognised from their phone number, and call tracking that records the source automatically so CSRs aren't asked "how did you hear about us?" and left to type the answer.
BCWide.ca: fast change needs fast adoption
BCWide.ca tripled its leads in 90 days. When demand moves that fast, there is no time for a long rollout.
What transfers: adoption has to be planned in weeks, not quarters. Role-by-role training, a named internal champion and weekly usage checks are what keep a team on the system when the phones are busiest.
GasBoilers.ca: many communities, one record system
We built GasBoilers.ca as a gas-boiler division for CANRO Heat. The division reaches customers in 26+ BC communities, and its Google rating stands at 5.0★ from 76+ reviews.
What transfers: a service area spread across dozens of communities needs territory and service-area fields, clean addresses for routing, and reporting by community. It also shows that a specialist line of business can share a company's systems while keeping its own job types and pipeline.
What none of this means
These results don't mean a CRM setup will produce more leads. Marketing produces leads; a CRM decides how many of them become booked visits, sold jobs and renewed maintenance plans. They also don't predict your numbers. Every company starts from a different place.
What they do show is that we know what an HVAC office looks like when demand rises, and where it tends to crack.
Reading these results honestly
Treat every number here as evidence of method, not a forecast for your business.
How we measure CRM work instead
For CRM engagements, we agree measures you can check yourself in your own system:
- share of new jobs with required fields complete;
- open estimates with an owner and a next-step date;
- estimate close rate, before and after;
- maintenance visits booked before the season;
- calls with a source attached.
Every published HVAC case study, with more detail than this page, sits on HVAC.Agency's case studies page. To discuss what we would measure in your company, see pricing or get in touch.
Frequently asked questions
Are these CRM case studies?
No. They are results from our HVAC marketing work. We show them because they prove we understand how HVAC demand behaves, and because each one illustrates a CRM problem that grows with lead volume.
Can you promise similar numbers?
No. Results depend on your market, your offer, your team and your starting point. We can show you the method, the measurements we'll use and what we see in your own data.
Where can I see the full case studies?
The full list is on the HVAC.Agency case studies page, and each client's live site is linked below so you can look for yourself.
