Call, text or email. Tell us which CRM you use, where your old records live and what isn't working, and you'll hear back from a senior strategist.

What happens next

  1. Tell us the basics

Business, city, website and the problem to solve.

  2. We review it

We look at your site and local search results first.

  3. We talk it through

A senior strategist calls you back with specifics.

The quickest way to get a useful answer

The first conversation goes further when we know a few basics. You don't need exact numbers; rough figures are fine.

  1. Your software. The CRM or field-service system you use today, or the one you are about to buy. If you're still deciding, say so.
  2. Your size. Number of trucks or technicians, office staff and comfort advisors.
  3. Your records. Roughly how many customers and active maintenance agreements, and where the history lives now: old software, accounting, spreadsheets, paper.
  4. What's not working. For example, "quotes go quiet", "techs won't use the app", "we have duplicate customers everywhere" or "we can't tell which ads book jobs".
  5. Your province or territory. Some setup choices, such as language templates and privacy rules, depend on where you work.

Please don't include customer names, phone numbers or exports in your first message. We'll agree on a safe way to look at data later if it's needed.

A message template you can copy

If you prefer to text or email, this template covers what we need. Replace the brackets with your own details.

Hi, this is [Your name] from [Business name] in [City, Province]. We use [CRM or software name] with [number] office staff and [number] technicians. We have about [number] customers and [number] maintenance agreements, with older records in [where they live]. Our main problem is [one or two sentences]. You can reach me [days and times].

What happens next

  1. A reply. We usually reply within one business day, by the channel you used.
  2. A first conversation. Usually 20 to 30 minutes, in person, by video or by phone. We ask how a call becomes a job and a quote becomes a sale in your shop, and what you've tried.
  3. A written recommendation. If it looks like we can help, you get a short summary of what we'd do first, which services are involved and how the work would be phased.
  4. A proposal. Scope, deliverables, dates, price, third-party costs you would pay directly, and terms. Nothing starts until you approve it.

If we think you don't need us yet, for example because a simpler fix inside your current system would do, we'll tell you.

If you're mid-migration right now

Some people contact us halfway through a switch, with records half-moved and staff using two systems. That's fixable. Tell us which system you're leaving, which you're moving to and roughly how far the move has got. The first priority is usually to stop new work being entered in two places, then to finish the import cleanly.

Who you'll be dealing with

HVACCRM.ca is led by Ali Sedighi, MBA, and operated by Sedighi.ca, part of the Sedighi.ca and SAZ.ca group, headquartered in Vancouver, BC. We are a marketing and business consulting service, not an HVAC contractor, so we never send anyone to your customers' homes. Our work happens in your office systems, with meetings in person or by video call. More background is on the about page.

Before you call: three questions worth answering

These help you, even if you never call us.

  • Can you count your open estimates right now? If the answer takes more than a minute, follow-up is your first fix.
  • Does every maintenance agreement have a start date in the system? If not, reminders can't run on time.
  • Do techs record equipment as fields or as notes? Notes can't drive replacement or reminder lists.

The guides explain how to fix each of these, and the FAQ covers contracts, ownership and privacy.

Frequently asked questions

When are you available?

Mon–Fri 9–6 Pacific. We usually reply within one business day, by the same channel you used to reach us.

Do I need to prepare anything before the first conversation?

No, but a few facts help: which CRM or software you use, roughly how many customers and maintenance agreements you have, where old records live and how many people would use the system.

Should I send you our customer data?

Not at first. Please don't send customer lists or exports by text or email. If we work together, we agree in writing how data is accessed, inside your own accounts wherever possible.

Can we meet in person?

Yes. Consultations are open in person or by video call, and we also work with HVAC companies across Canada by phone, text and email.
